Why Is My PDF So Big? What's Inside a Heavy File

Some PDFs are tiny and some are enormous, even with the same number of pages. Here is what is inside a heavy file, and how to find the cause in yours.

Key takeaways

  • Images are the usual reason a PDF is big, especially photos and scanned pages.
  • A text-only PDF can be a few dozen kilobytes. A scanned page in colour can be several megabytes.
  • Other causes include embedded fonts, repeated edits and merging, hidden layers and attachments.
  • Knowing the cause tells you the right fix, and compressing works best when images are the problem.

A PDF is usually big because of the images inside it, especially photos and scanned pages, not because of the number of pages. A text-only PDF can be a few dozen kilobytes, while one colour scan can be several megabytes.

Two PDFs can have exactly the same number of pages, and one is 80 KB while the other is 40 MB. It seems strange, but there is a simple explanation. A PDF is a container, and what is inside it decides the weight, not the number of pages.

Here are the six things that most often make a PDF big, so you can find out which one is behind yours.

1. Photos and images

This is the cause in most cases. A photo from a modern phone can be several megabytes by itself. Place a few of them on a page, and the PDF is heavy no matter how little text there is.

Signs: the PDF has pictures, a brochure layout or a presentation exported from slides.

2. Scanned pages

A scanned page is just a picture of paper. At 300 dpi in colour, one page often takes one to several megabytes. At 600 dpi it can be four times as large, with no visible benefit on a screen. A 40-page scanned contract can reach 100 MB.

Signs: you cannot select the text, and the file grows steadily with every page.

This is the one to check first if the file came from a scanner or a scanning app. Our guide Why you can't edit text in a scanned PDF explains what a scan really is.

3. Embedded fonts

PDFs usually carry the fonts they use, so they look the same on every device. A few fonts add up to a few hundred kilobytes, which is fine. A document that uses many fonts, or large fonts with thousands of characters, can add more. It is rarely the main cause, but it matters in small files.

4. Repeated saving and editing

Some programs add new data each time you save instead of replacing the old data. A PDF edited many times can slowly grow, and it can contain old versions of pages. Merging many files can do the same, because every file brings its own copy of the same fonts and images.

Signs: the file grew after you edited, signed or merged it, although the page count stayed the same.

5. Complex drawings and layers

Maps, plans and diagrams are made of thousands of tiny lines and shapes. Transparency effects and layers make this heavier still. These files can be big and slow to open, and compression helps less, because they are not made of pictures.

6. Attachments and hidden data

A PDF can hold other files inside it, such as spreadsheets or photos, as well as form data, thumbnails and metadata. They are easy to forget because you do not see them on the page.

How do I find out what makes my PDF big?

You do not need special software for a first check:

  1. Divide the size by the pages. A text document at 50 to 100 KB per page is normal. A page of 2 MB or more is almost certainly an image.
  2. Try selecting text. If you cannot, the pages are pictures.
  3. Look for photos and graphics. If you see them, they are the likely cause.
  4. Check the history. Did the file grow after merging or editing?

What should I do about it?

Cause Best fix
Photos and scans Compress the PDF, or rescan at 150 to 200 dpi
A merged file Compress it after merging
Pages you do not need Remove them
Complex drawings Ask an expert to optimise the file

For the steps and the levels, read How to compress a PDF without losing quality. Choose Recommended first, and only use Strong if you still need a smaller file.

Does OCR shrink a scan?

No. OCR adds an invisible text layer to the scanned pages, so the file stays the same or grows a little. If you want a smaller file and searchable text, compress the PDF first and then run OCR. See How to OCR a PDF.

When should I ask a professional?

If the file is a large plan, a magazine layout or a long scan that must stay perfectly sharp, a quick compression may not be enough. Our experts can rebuild the document so it is much smaller and still looks right. Ask for a quote and we will tell you the price before we start.

Frequently asked questions

Why is my PDF so big when it has only a few pages?

A few pages can still be heavy if each page is a high-resolution photo or scan. The number of pages matters less than what is on them.

How big should a PDF be?

A page of plain text is usually tiny. A page that is a colour scan is often one to several megabytes. If a text document is many megabytes, something extra is in the file.

Does running OCR make a PDF smaller?

No. OCR adds a hidden text layer, so the file can get slightly bigger. To shrink a scan, compress the images.

Why did my PDF get bigger after I merged files?

Merging adds the size of every file together, and the same fonts or images can be stored more than once. Compress the merged file afterwards.

How can I make a heavy PDF smaller?

Compress it, which rebuilds the images at a smaller size. If it is still big, remove pages you do not need or rescan at a lower resolution.
